What Documents Do You Need to Rent a Property?
Most rental applications are delayed by one missing document. This page lists exactly what MM Group Properties asks for, what counts as acceptable proof, how long you have to submit it, and what you pay when the lease is signed — so you can apply once and get an answer quickly.
The three documents every applicant must send
These apply to every property we manage, in Cape Town and in Brakpan, for student rooms and for family homes alike. There are no per-property exceptions.
- South African ID or passport (clear copy of both sides or photo page)
- Proof of address — a utility bill, municipal account or bank letter
- Proof of income — payslips, bank statements or funding confirmation
Optional documents that speed things up
You can apply without these, but sending them upfront usually means a faster decision because we do not have to come back to you for more information.
- Three months of bank statements
- Employment confirmation letter from your employer
- Any other supporting documents you think help your application
If you are a student
Students replace proof of income with proof of registration at their institution and proof of funding. That can be a bursary or funder confirmation letter, or a parent or guardian’s proof of income where the family is paying. We accommodate both bursary-funded and self-paying students; please note we are not yet an NSFAS-accredited provider, so NSFAS does not pay us directly. Next-of-kin contact details are required for every student application.
Deadlines, approval and what you pay
Outstanding documents must be submitted within seven days, and automatic reminders go out three days before the deadline, on the deadline, and three days after. Once your file is complete, applications are normally decided within 24 to 72 hours. On approval you view the property, sign the lease digitally, and pay the first month’s rent, a deposit equal to one month’s rent and a once-off administration fee. From then on rent is due on the 1st, with the 5th as the last day to pay.
Rental application FAQs
What documents do I need to rent a property in South Africa?
At MM Group Properties every application needs three things: a copy of your South African ID or passport, proof of address, and proof of income. A bank statement and an employment confirmation letter are optional but make the decision faster.
What counts as proof of income if I am self-employed?
Recent bank statements showing regular income, together with any invoices or contracts you work from, are accepted in place of a payslip. Send what you have and we will tell you if anything else is needed.
What do students need instead of proof of income?
Students submit proof of registration at their institution and proof of funding — a bursary or funder confirmation letter, or a parent or guardian’s proof of income if the family is paying. Next-of-kin details are also required.
How long do I have to submit outstanding documents?
You have seven days. Our system sends automatic reminders three days before the deadline, on the deadline, and three days after if anything is still missing, so nothing slips through the cracks.
How long does approval take?
Once your documents are complete, applications are normally reviewed within 24 to 72 hours. You are notified by email and WhatsApp at each stage.
What do I pay when the lease is signed?
New tenants pay the first month’s rent, a deposit equal to one month’s rent, and a once-off administration fee. The exact amounts appear on your move-in invoice before you sign — there are no surprise charges afterwards.
When is rent due each month?
Rent is due on the 1st of the month. The 5th is the last day to pay, and late charges apply from the 6th. Invoices, receipts and statements are all available in your resident portal.
Do I have to view the property before signing?
Yes. A viewing is a compulsory part of our process so you know exactly what you are renting. A move-in inspection is recorded afterwards, which protects your deposit at the end of the lease.
